Industrial Boiler Quotation Comparison: Equipment Price vs Installed Project Cost

A useful steam boiler quotation comparison shows what each offer will deliver under the same operating conditions, and what the buyer must still purchase before production can begin. The headline equipment price is only one entry in that comparison.

This guide provides a working comparison sheet for procurement and engineering teams. It contains no market price list: project location, technical requirements and agreed responsibilities determine the amounts that belong in each row.

Understand industrial steam boiler cost boundaries

Keep three totals separate. Equipment price covers the goods and services expressly listed in the supplier’s offer. Installed project cost adds the remaining expenditure required to reach the agreed installed and accepted condition. Operating cost covers running the system over a stated period and production schedule.

A package with more factory assembly may still require field piping, utility connections and local installation. Conversely, a separately priced item may already appear in a contractor’s scope. Neither a low equipment price nor a long accessory list establishes the lowest installed cost. Compare the same end condition and count every item once.

Put every offer on the same steam duty

Issue one dated comparison basis and ask each bidder to confirm it or identify a deviation. If initial project data are incomplete, use the boiler proposal data guide first. Then reconcile the offers against the following fields.

Common technical basis to attach to every quotation
FieldRequired confirmation
Steam capacityRequired continuous and peak output; units; output at the boiler outlet or the process connection.
Rating basisActual evaporation under the stated duty, equivalent evaporation, or heat-output rating; any conversion used.
PressureOperating pressure and measurement location; gauge or absolute basis; design pressure listed separately.
Steam conditionSaturated or superheated; specified temperature or steam-quality requirement and verification method.
FeedwaterTemperature at the agreed inlet, water-quality basis, condensate-return assumption and blowdown allowance.
Fuel and operationFuel specification, heating-value basis, supply conditions, load profile and annual operating schedule.
Design and destination requirementsApplicable design and manufacturing requirements, required inspection documents, and the emissions acceptance basis; identify who confirms each requirement and provides the evidence.

Equal nameplate capacities can conceal different rating conditions. Spirax Sarco’s boiler-rating guidance explains why steam pressure and feedwater temperature matter when interpreting evaporation and heat-output ratings. Ask the supplier to confirm output at your stated conditions; do not compare labels alone.

Use a line-item quotation comparison sheet

Copy this table into the enquiry and add columns for further bidders. In each offer cell enter: included, optional, excluded or unresolved; price reference; supplier; installer; acceptance owner. Name the company or role responsible for each activity. Write “not applicable” only after agreement; a blank is an open question.

The complete boiler system guide explains the component groups. Here, the purpose is to assign a comparable cost and responsibility to every required item.

Split any row where responsibilities differ. For example, supplying a pump does not assign the field piping, electrical connection or installation inspection. Identify the relevant drawing or quotation line, so the comparison remains traceable when an offer changes.

Build an installed-cost bridge for each offer

Start with the quoted package subtotal. Add required options, separately purchased equipment, logistics, local works, installation, commissioning and applicable project charges that are outside that subtotal. Remove duplicate allowances only when the overlap is confirmed. Keep contingency visible and explain what uncertainty it covers.

Every addition needs an amount source: a firm quotation, a budget estimate or an unresolved item. An unresolved steam boiler installation cost is not zero. If it could change the ranking, obtain a comparable local estimate before selecting a supplier. Use one comparison currency and date, and show the tax treatment consistently. Confirm destination-specific duties and taxes with the relevant local advisers; no universal rate is assumed here.

Keep trade terms separate from boiler package scope

Record the chosen Incoterms® rule, named place or port and edition beside each offer. The ICC explanation of Incoterms® and commercial contracts distinguishes delivery obligations, costs and risk allocation from matters such as equipment specifications and payment arrangements.

A trade term does not tell you whether water treatment, field cables or commissioning are included. Reconcile transport and insurance against the selected rule and the quoted route; document equipment and service scope separately. Do not assume that a destination named for freight also identifies the point where transit risk transfers. Have the commercial parties confirm the complete arrangement before order placement.

Compare operating cost on a separate, common basis

The US Department of Energy’s steam-cost technical brief distinguishes steam generation cost from cost at the point of use and includes more than fuel. For bid evaluation, use the same steam demand, annual schedule, local energy prices and cost boundary for every offer. Include auxiliary power, make-up water, chemicals, labor, maintenance and relevant waste costs.

Check the calculation behind fuel-consumption claims: steam conditions, feedwater temperature, load, efficiency definition and fuel heating-value basis must agree. DOE’s Steam System Survey Guide connects these quantities in its efficiency analysis. The related boiler versus combustion efficiency guide explains the measurement boundary.

Keep the purchase decision and running-cost forecast connected, while showing their assumptions separately. Test your comparison against plausible changes in operating hours and fuel price before relying on projected savings.

Close the comparison with a revised offer

Return one numbered clarification list to each bidder. Ask for a revised scope schedule, deviations and price references in the same revision. Review payment milestones, quotation validity, delivery assumptions and warranty terms separately; do not fill gaps with presumed industry practice.

Acceptance also needs an owner and evidence. Purchasing a commissioning visit does not define the acceptance test. Use the FAT versus site commissioning guide to agree the test stage, prerequisites and records. Make the selection against the reconciled technical offer and installed-cost total, with open items visible.

Frequently asked questions

Why can two boilers with the same steam capacity have different prices?

The rating conditions, construction requirements, firing equipment, auxiliaries and service scope may differ. Resolve those differences before attributing the price gap to quality or value.

Does a packaged boiler include installation?

Only if the offer expressly includes it. Identify the supplied assemblies and connections, then name who completes and checks each field activity.

Does an Incoterms® rule make an offer turnkey?

No. The equipment list and installation, commissioning and acceptance responsibilities still need explicit agreement. Define what “turnkey” means for the particular project.

Can I estimate installed project cost by multiplying the boiler price?

A generic multiplier can hide major scope gaps. Obtain itemized allowances for the actual site, utility connections, transport route and local work, and label estimates clearly.

Start with the boundary you need quoted

Share your steam duty, project country and the equipment or site work you already have. List uncertain items as “to confirm.” Request a JINHONG boiler quotation with an itemized supply and service boundary. Any proposed equipment, site support and commercial terms remain subject to the written project offer.
